The whole order process from samples to shipping
 

1. Sampling and Pre-Production Process

The customer provides us either images, technical drawings, digital designs, or original samples with size chart, quantities and packing info. Based on these, we issue a detailed quotation with estimated lead time, after evaluated the material costs, manufacturing complexity, management costs, order scheduling and packaging. 

Once the buyer agree on pricing and all product specifications after discussion, such as MOQ, dimensions, materials, color, tolerance, functionality, labeling and packing requirements, we proceed to the next stage: charge sample fees. The customer is required to pay the sample costs and freight before we start making the samples, via Paypal or T/T to our company bank account. Usually we don’t charge sample fees for long cooperated customers, or put the costs to the following orders.

After the sample is produced, we ship it to the customer by FedEx, UPS, DHL or other Express. If the sample is approved, the customer formally places a bulk order to us and pay the deposit. At this stage, for critical or highly customized orders, we may offer to produce the pre-production samples. This is especially necessary when the order quantity is large or involves new assembly lines, to confirm materials and processing for the order are the same as the confirmed samples. The pre-production sample allows both parties to:
1). Verify mass-production feasibility.
2). Confirm final packaging details of bags, color box, master carton, cardboard, this can be confirmed later during producing if it occupy much time.
3). Inspect labeling, barcodes, hang tags and other accessories.
4). Adjust any minor production parameters before full-scale manufacturing.

Once the pre-production sample is confirmed, all mass-production details are frozen and can not be changed in usual. It is important to note the order modification and cancellation policy:

1). Before production starts:
The order can be canceled or modified, but the customer is responsible for any costs already incurred, especially non-recoverable printed raw materials, custom-cut fabric, color-matched dying, printed packaging with logos. We provide a detailed list of purchased materials and their associated costs.

2). Once the order has begun on the producing line:
No cancellation or modification is allowed. Changes at this stage would result in complete scrap of partially finished customized goods, line downtime, and rescheduling penalties. Therefore, we strongly encourage customers to confirm every detail before the production start signal is given.

2. Mass Production

Production officially begins only after the customers deposit arrives in our company bank account. The deposit ratio typically ranges from 30% to 50% depending on the order value and material customization level.

After receiving the deposit, we proceed with raw material and accessories procurement, including fabric, webbing, buckles, hook, zippers, buttons, threads, hangers, labels, hang tags, packing bags and cartons.

Throughout the manufacturing process, we maintain real-time communication with the customer. This includes:
1). Weekly production progress of status reports if necessary.
2). Photos or short video clips of producing steps, quality checkpoints, and packaging.
3). Alerts on any unexpected delays, power outages, material shortages, quality rework.
4). Updated estimated completion date and shipping readiness

We also encourage customers to arrange a third-party inspection as SGS, Bureau Veritas, TÜV, Friends, Professional and trusted individual, or a virtual meeting to walk through the production line. Transparency is key to long-term cooperation.

3. Pre-Shipment Samples and Balance Payment Terms

When the order is approximately 80-95% completed, we prepare shipment samples. These samples are taken from the finished batch under the same conditions as the mass-produced goods. We send one or two units to the customer for final approval.
After the customer confirms that the shipment sample matches the approved pre-production sample in material, workmanship, labeling, packing and function, we move forward with transportation booking.
Payment terms are basing on the shipping method:

1). By Sea
The customer pays the balance after receiving the copy of Bill of Lading (B/L).
We provide a scanned copy of the B/L, often the telex release or original negotiable copy. Once the customer makes the balance payment transfer, we release the original shipping documents for customs clearance at destination.

2). Air freight or express couriers as FedEx, UPS and DHL
Balance payment must be made before the goods leave our warehouse.
Air waybills are not negotiable documents like B/L, and couriers release goods without proof of payment. To protect our interests, we require 100% payment before handing over to the carrier.

4. Logistics Options

We offer multiple shipping solutions tailored to your product characteristics, urgency, budget, and destination market.

1). Sea Freight
Suited for: Large order volumes, full or less than container load; Bulky but lightweight cargo such as dog beds, cat tree, plush dog toys, pet furniture; High carton count, low unit price; No strict time requirement for delivery.
Characteristics: Transit time is 15 to 45 days depending on origin and destination ports, China to US West Coast around 20-25 days; China to Europe via Rotterdam around 30-40 days; to South America or West Africa up to 45 days; It’s the most economical option per unit volume or weight; There are shortage as slower, susceptible to port congestion, customs delays, and weather.

There is another Sea freight, the Fast Sea Service mainly for North America:
Specialized vessels with fewer port calls and priority berthing. Transit time around 20 days from China to major US ports (e.g., Shanghai to Long Beach); Much cheaper than air freight but faster than standard sea; Highly recommended for restocking best-selling and seasonal products.

For all sea shipments, we provide commercial invoice, packing list, bill of lading, certificate of origin, and inspection reports. For DDP terms by Air/Express/Rail, we manage customs clearance and tariff payment on your behalf. We strongly advise customers to consider cargo insurance, especially for high-value goods or long transits. Any changes to shipping method after production must be confirmed in writing and may affect the balance payment terms.

2). Air Freight
Suited for: High value or seasonal goods with urgent need; Moderate volume, weight range 100-1000 kg; Products where time-to-market justifies higher cost.
Characteristics: Transit time: 7 to 15 days door-to-door including customs clearance; Usually taxes and duties inclusive arrangements are available; Significantly more expensive than sea freight but faster than rail, cartage and sea for long hauls.

3). Express Couriers as FedEx, UPS, DHL, and other Express
Suited for: Sample orders; Small, high-value parcels under 100 kg or 5-10 cartons; Time sensitive but low volume shipments.
Characteristics: Transit time is 5 to 10 days global countries coverage; High price, and fluctuates seasonally, peak Christmas seasons can see fuel surcharges increase 30%; Door-to-door tracking, simpler customs clearance for low-value items, less paperwork; Special routes for the Middle East, Southeast Asia, and Europe, we also contract with regional express lines offering competitive rates, such as SF, Aramex, TNT/now FedEx, DPEX.

4). Lorry/Truck and Rail Freight from China to Europe
Suited for: European market imports from China or Central Asia; Orders that are too large for express but too urgent for sea freight; Price-sensitive seasonal goods planned well in advance.
Characteristics: Transit time is 35 to 55 days from China to major EU hubs; More affordable than air freight, slightly higher than sea freight but faster than sea for inland European destinations; By rail is not recommended for very high value electronics or dangerous goods due to vibration and customs complexity; This mode requires advance planning-ideal for orders placed 3-4 months before the target sale season.
